Illinois faculty, staff and students become ambassadors for both the campus and their units in their public appearances and outreach efforts. These are our opportunities to showcase the quality of our University to other scholars, professional societies, conferences, development and recruiting venues, and more.
Illinois in a Box provides up-to-date tools and resources, free or at a minimal cost, to help us tell the Illinois story. In effect, Illinois in a Box packages a branded display environment, supplies, and campus messages. Available items include signage and banners, table skirts and table tents, props for photo opportunities, handouts, give-a-ways, facts brochures and audio-visual ‘looped’ presentations.
Use the items available through Illinois in a Box to customize your presentation for the venue and audience, and have fun telling the Illinois story!
Eligibility
All faculty and staff are eligible to reserve and utilize Illinois in a Box resources for presentations to external audiences. Public Affairs reserves the right to refuse the use of materials, especially when multiple requests are received for the same or overlapping dates.
Access to the reservation website is bluestem secure and requires NetID and password.
Can I get autographed sports items?
Due to overwhelming requests, the Division of Intercollegiate Athletics has a new policy regarding the handling of requests for donations and autographed items. Their new policy and links are here.
Reservation process
A few things to consider before ordering your materials:
- Date materials will be picked up and date loaned materials will be returned.
- The reservation form must be submitted at least 2-workdays prior to your event.
- Who is your audience? Carefully identifying your audience will help you choose the right materials.
- Will there be a table?
- How much space will you have?

An order confirmation will be sent within one day via e-mail.
Pickup and return policies
Pickup process
- Pickup of all materials will be in Suite 304 of the Swanlund Administration building, 601 E. John Steet. The most convenient metered parking will be in Lot C3, between the Swanlund Administration Building and the Bookstore building. Enter the lot just south of John Street on 6th Street.
- Pickup will require completed and signed Borrower Agreement (pdf) and Check-out (pdf) forms. A Public Affairs staff member will take you through the forms.
- Items for purchase should be paid for using a FOPAL number on the order form or at the time of pickup.
- For your convenience, orders will include a pack-and-go, resealable container.
- Unused purchased items CANNOT be returned for reimbursement.
- Return of loaned items will be in the same location, Suite 304, Swanlund Administration building, at 6th and John streeets.
- The return process will include the completion of a check-in form. This documents confirms that the borrower has returned all loaned items, and that those items are not damaged beyond expected wear and tear. A Public Affairs staff member will complete the form with you.
